Activity and settings

Review email alerts in Neon Deer and choose how your organization sends them. The Email Notifications page has three tabs: Overview, Activity, and Settings.

Overview

As an organization admin, open Email Notifications in Neon Deer. Overview shows Sent and Not sent totals for the last 30 days, the number Waiting to send now, and the most recent activity.

When alerts are off, Overview offers Turn on email alerts. You can also reach this page using Open alerts on the app's Settings tab in Attio. Only organization admins can open the page.

Activity

Activity lists individual alerts. Search by workflow or recipient, or use the Workflow, Recipient, Status, and Created on filters. Choose Refresh to reload the list.

Each row shows the workflow, recipient name and email, subject, status, and creation time. Use Open in Attio ↗ beside the workflow to open the exact run that sent the alert. Older alerts open the workflow instead.

Alert statuses

StatusMeaning
QueuedWaiting to send. You can cancel it.
SendingSending is underway. The alert can no longer be canceled.
Sent to email providerThe provider accepted the email. This does not confirm inbox delivery or that it was read.
Not sentThe alert could not be sent. The status includes a reason where available.
CanceledThe alert was canceled before sending.
ExpiredThe alert waited longer than the time your organization allows and will not be sent.
Send outcome unknownSending could not be confirmed. Check with the recipient before creating another alert.

Neon Deer checks Attio's active member list when sending. A removed or suspended recipient is marked Not sent: the recipient isn't an active member of this Attio workspace. If the member list cannot be read, the alert waits until it can be checked.

Cancel or stop alerts

In Activity, select Queued rows, choose Cancel selected, and confirm. Selection applies to the current page.

Stop all alerts… turns off sending for the organization and cancels every alert still waiting, including those on other pages. New workflow alerts are refused until an admin turns sending back on in Settings.

Alerts already being sent cannot be recalled. Canceling an alert does not undo other steps your workflow has completed.

Settings

Open Settings to review the connection, email content, and sending preferences.

Connection

The Connection section shows whether the app is connected, with Manage in Attio ↗. If it says Needs reconnecting, use Reconnect in Attio ↗ to reconnect. Workflows stop sending until the connection is restored.

Email alerts

The Send email alerts switch saves immediately. When it is off, workflows cannot send and the other settings are locked. Alerts already waiting stay there and may expire. Turning it back on resumes alerts that have not expired; use Stop all alerts to cancel them instead.

Email content

Subject prefix is optional text added before the subject from your workflow. BCC address is one optional address that receives a copy of every alert. Choose Save settings after changing these fields or the sending preferences.

Example email shows From, To (you, the signed-in admin), BCC if set, Subject, and Message. The message preview says "The message your workflow sets." It shows how the email will look; it does not send an email.

Every alert comes from CRM Workflow Notification at alerts@notify.neondeerdata.com. Add this address to your allowed senders or contacts to help keep alerts out of spam. If your company filters incoming mail, ask your email administrator to allow this sender.

BCC rules

An admin can save one BCC address for the organization. It receives a copy of every alert, including the message, across all workflows. It is not chosen separately on each workflow step. Please contact us if you need to include additional BCC recipients.

Use an address your organization is allowed to share these messages with. To stop sending copies, remove the address and choose Save settings.

An alert with a BCC copy counts as one email alert.

Sending preferences

Use Settings to choose how often your team receives alerts and when an unsent alert is no longer useful. Choose Save settings after making changes.

If an alert cannot be accepted, check Activity, cancel alerts you no longer need, and try again later. Contact support if the problem continues.

Each recipient receives a separate alert. A BCC copy does not count as an additional alert.

If an alert does not arrive

Check its status in Activity and the workflow run in Attio. If it says Sent to email provider, ask the recipient to check their inbox and spam folder. Provider acceptance is not proof of delivery.

For connection problems, refused alerts, or an uncertain send, use the troubleshooting reference. It lists the messages shown in Attio and what to do about each.
